(PHAM) Administrator and Volunteer Coordinator
The Administrator and Volunteer Coordinator will facilitate all administrative duties of the Potter’s House Arts and Music department inclusive of but not limited to: scheduling, filing, daily correspondence with internal and external departments, event planning, dictation, project oversight and management. Duties also include coordinating volunteer and guest relations in accordance to directives given by Executive Director or Pastor of Worship.
Duties & Responsibilities: Responsibilities including but not limited to:
- Facilitate and manage project management software and programs for PHAM department
- Manage yearly event schedule for PHAM department
- Weekly communications of volunteer updates, concerns and contact changes
- Weekly communication of rehearsals, special events and room assignments to PHAM staff and volunteer admins
- Manage monthly volunteer orientation with volunteer staff
- Manage PHAM department open calls
- Attend weekly PHAM staff meetings
- Coordination of scheduling for all PHAM rehearsals, programs, meetings, and events
- Produce reports, presentations and briefs
- Coordinate “Guest Artist” relations and activities including but not limited to: accommodations, itineraries, schedules, product sales, and hospitality
- Coordinate volunteers for conferences and special services as assigned
- Developing leaders and build strong volunteer teams
- Discretion and confidentiality
Basic Qualifications:
- Bachelor Degree in related field
- At least 3 years of experience
Preferred Qualifications:
- Demonstrate knowledge of best practices in the leading, development and assessment of the area of Administration.
- Demonstrate knowledge of curriculum and program development and evaluation.
- Ability to read, analyze, and interpret common financial reports and legal documents.
- Superior communication skills, both written and oral.
- Demonstrated strength in leadership.
- Demonstrated strong interpersonal skills.
- Ability to build and maintain relationships.
- Ability to wait for events to occur without feeling any negative emotions and respond to situations positively, even in challenging times.
- Ability to remain calm in the time of crisis is critical
- Ability to think on your feet.
- Able to adhere to and meet critical deadlines and have a flexible work schedule.
- Experience with technology applications.
- Demonstrated organizational skills.
- Ability to work effectively with all levels of employees.

Schedule:
- 8-hour shift
- Monday to Friday
