Requirements:
Strong Microsoft Office Skills, testing will be required. Knowledge in MS Projects. 2-4 years experience. Skill in written and oral communication. Ability to work with speed and accuracy. Ability to handle multiple job tasks and meet strict deadlines Ability to deal with confidentiality.
Functions:
- Keeps official records and executes administrative policies determined by or in conjunction with other officials by performing following duties.
- Ability to manage supervisors calendar and independently schedules appointments.
- Ability to screen incoming calls, correspondence, and responds independently when possible.
- Ability to prepare memorandums outlining and explaining administrative procedures and policies to supervisory worker’s, and monitors compliance.
- Ability to act as custodian of corporate documents and records.
- Reviews and routes incoming mail, orders and maintains supplies, make copies of correspondence or other printed materials.
- Composes and produces routine business correspondence.
- Greets scheduled visitors and direct to appropriate area
- Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings
- Ensure confidentiality and controls access to sensitive information
- Researches information as requested and communicates official interpretations to the appropriate personnel.
- Ability to transcribes dictation, and composes and prepares confidential correspondence, reports, and other complex documents.
- Ability to create and maintain database and spreadsheet files.
- Ability to arrange complex and detail travel plans and itineraries, compiles documents for travel-related meetings, and accompanies supervisor when requested.
- Ability to plan, assign, and direct work.
- Ability to address complaints and resolve issues.
- Ability to remain professionally flexible when priorities and request change.
